Managing Your Program with Claude

How to manage a cat or dog breeding program with Claude and BreederPro: you talk, Claude records, and everything lands in the app where you can see it, search it and share it. You can move an existing program in from registry papers, call out kitten weights while you're holding the scale, log a vet visit in one sentence, and send an invoice without opening a form.

Claude is the input surface; BreederPro is where the work becomes visible. Whatever Claude records appears in the app straight away, and whatever you change in the app is what Claude sees next time you ask. You can switch between the two as often as you like. Claude confirms before it deletes anything, never deletes in bulk, and shows you the recipient and amount before it emails a customer.

Before you start

Connect Claude to your account first. The steps take a couple of minutes and are in Connecting Claude. The connector is included on every plan, and your plan's limits (such as the animal limit) still apply. Once it's on, open a new chat, switch BreederPro on in the tools menu, and try the examples below. Each one gives you a prompt to paste, what Claude does, and what to look at in the app to check its work.

1. Move an existing program in

Try this, with your registry certificates or pedigree PDFs attached:

These are the registration certificates for my breeding cats. Add each cat with its registration number, then build out the pedigree as far back as the papers go. Show me the plan before you save anything.

What Claude does: reads the documents, lists the animals it found, and shows you a plan. Existing animals are matched by name and birthdate, so a repeat import updates records instead of duplicating them. Ancestors you don't own are added as external animals so the pedigree is complete. Registration numbers, microchips and titles go into the animal's custom fields. It imports up to 100 animals at a time and carries on in batches for bigger programs.

Check in the app: open an animal's Pedigree tab and look at the family tree, then check Animals for the count. Incomplete pedigrees make COI look lower than it really is, so add missing ancestors if the numbers matter to you.

2. Hands-free kitten weights

Try this, right after a weigh-in (dictation works well on your phone):

Weights for the Luna litter this morning: blue boy 412 grams, red girl 398, black boy 405, tortie girl 389.

What Claude does: finds the litter, matches each kitten by name or colour, and checks back with you if anything is ambiguous ("which black boy?"). It then records one weight per kitten. You can say grams, kilograms, pounds or ounces; BreederPro stores everything in grams. The date is today in your account timezone unless you say otherwise.

Check in the app: open the litter and look at its weights and growth chart, or an individual kitten's weight history. See Tracking Weights. Entered the wrong number? Say "blue boy was 421, not 412" and Claude corrects the record instead of adding a second one.

3. A vet visit in one sentence

Try this:

Luna had her FVRCP today at Lakeside Vet, $85. Next one is due in 3 weeks.

Attach a photo of the invoice if you have one.

What Claude does: logs the visit as a single step: the bill goes into your expenses against Luna and her program, and the vaccination goes on her health record. The expense and the vaccination are linked, and either all of it saves or none of it does. Claude stores your invoice photo on Luna's files and attaches it to the visit.

Check in the app: Luna's Health tab for the vaccination and the attached invoice, and Expenses for the $85. See Vaccinations.

4. Health test results

Try this, with the echo report or lab result attached:

Atlas's HCM echo from today was normal. Record the clearance and attach the report. His DNA panel is attached too: PKD negative, both copies clear.

What Claude does: records the test result as a proper health clearance, with your report attached to it and labelled, and records the DNA results as genotypes. Recording a panel again is safe: results for a gene already on file are overwritten with the new result, so tell Claude when you're intentionally replacing one.

Check in the app: the Health tab on Atlas. Because these are structured records rather than notes, they appear in his health profile and can be shared with buyers. See Health Clearances.

5. Invoices and contracts

Try this:

Create an invoice for Priya for Luna, $2,000, with a 20% reservation fee she can pay first.

What Claude does: finds Priya in your contacts (or adds her), builds a draft invoice with a reservation-fee line and the rest as the balance, and sets the minimum first payment to the fee. Nothing is emailed yet. Review it in the app or ask Claude to read it back, then say "send it". Claude confirms the recipient and amount first.

When the balance arrives outside BreederPro:

Priya paid the rest in cash today. Mark it paid.

Claude records the payment on the invoice. A smaller amount is recorded as a part payment and the remainder stays owed. If Priya has an email on file she is sent a receipt, so tell Claude if you'd rather it didn't. Card payments through the invoice link record themselves.

To see where you stand:

What's outstanding?

Claude gives you open and overdue invoices, this month's income and expenses, and contracts and applications waiting on you.

For contracts: "Send Priya the pet sale contract for Luna" drafts it from your template, shows you the details, and sends it only after you say yes. Later, "Has Priya signed?" gets you the current status. Invoicing and contracts follow the same plan rules as the app. See Invoicing and Contracts.

6. Your daily check-in

Try this, over coffee:

What's on today?

What Claude does: reads your dashboard: today's birthdays, events and reminders, the next seven days including expected due dates and heat alerts, overdue reminders and invoices, kittens that haven't been weighed lately, and money due this week.

Anything happen in the last 24 hours?

Claude checks your notifications feed, the same list as the bell in the app, for things like paid invoices, signed contracts and new applications.

Check in the app: the Dashboard shows the same picture, so you can compare.

Prompt card

Paste these and swap in your own names.

Trust and limits

  • Confirmations. Before recording something, Claude states the animal, date and value so you can catch a wrong match. It deletes a record only when you ask, one record at a time, after naming it and getting your yes. It never bulk-deletes, and to fix a mistake it edits the record instead.
  • Emails. Invoices, contracts and receipts that go to a customer are shown to you first. Drafts stay private until you approve sending.
  • Your history is protected. An animal that was sold, died or retired keeps its record: Claude changes its status rather than deleting it, and merges duplicates instead of removing one.
  • Plan limits apply. If your plan doesn't include invoicing or contracts, or you've reached the animal limit, Claude says so and changes nothing. Plans are managed under Settings > Billing.
  • Dates and units. Dates are your account's timezone, and weights are stored in grams.
  • Stays in the app. Billing, payouts, account members and designing your forms and contract templates are done in BreederPro itself.
