Smart Import

Smart Import reads a document for you. Upload a registration paper, a pedigree certificate, a DNA report or a vet record, and BreederPro drafts the animal's details, pedigree, health clearances, vaccinations and genetic tests. You check the draft, correct anything that's wrong, and then save it.

Smart Import is available on Basic, Pro and Max. See Plans and billing.

Always check the draft. The extraction is automatic, and nothing is saved until you confirm it.

What you can upload

  • PDF files
  • JPEG, PNG and WebP images, such as a photo of a paper certificate

Step 1: Upload

  1. Go to Animals and click Smart Import, or open /import.
  2. Drag a file onto the page, or click to choose one.
  3. Click Analyze Document. Extraction runs in the background and the page shows its progress.

Step 2: Review

The Review Extracted Data step shows what was found, grouped into sections:

  • Animal: registered name, call name, birthdate, gender, species, breed, colour, microchip and registration number
  • Pedigree: the parents and other ancestors that appear on the document. Each ancestor is created as an external animal, which means a pedigree-only record
  • Clearances: health tests and their results, dates and expiry dates
  • Vaccinations: vaccinations listed on the document
  • Genetic tests: the provider, test date and each test result

Each clearance, vaccination, genetic test and pedigree entry has an Include toggle. Turn off anything you don't want saved.

Matching an existing animal: if the animal is already in your account, search for it in the animal field. BreederPro then adds the document's details to that animal rather than creating a duplicate.

Step 3: Import

Click Import Data. The Import Complete summary lists what was saved. Open the animal from there to check it.

Tips

  • Use a clear, flat scan rather than a photo taken at an angle. Blurry or cropped pages give less reliable results.
  • One document is usually one animal. For a spreadsheet of many animals, use CSV Import.
  • After importing, check the animal's status, breeding role and tags. See How animal status works.
