Waitlist

Each breeding program has a Waitlist for people who want an animal or a future litter. It keeps the order of your enquiries and records any deposit.

The waitlist is available on Basic, Pro and Max. See Plans and billing.

Opening the waitlist

Open the program, then choose the Waitlist tab.

Adding someone to the waitlist

  1. Click Add to Waitlist.
  2. Choose a Contact. If the person isn't in your contacts yet, click Create a contact, fill in their details, and the new contact is selected for you.
  3. Fill in the rest of the form:
    • Deposit Amount ($): the deposit they have agreed to pay
    • Preferences: what they are looking for, for example female, blue tabby
    • Notes: internal notes for you
  4. Save the entry.

New entries are added to the end of the list, and each entry shows its position in the queue.

Entry statuses

Status Meaning
waiting On the list and not yet offered anything. This is the default.
offered You have offered them an animal. Shown with a green badge.
placed They took an animal home. Shown under Placed.
removed Taken off the list. Removed entries are no longer shown.

Managing the queue

Each waiting or offered entry has these actions:

  • Move up / Move down: the arrows beside the position number change the order. Everyone's position updates straight away.
  • Offer: marks a waiting entry as offered. If the offer falls through, click Undo offer to put them back to waiting in the same position.
  • Deposit: record or change the deposit amount and the Date paid (it starts on today's date). Click Not paid yet to clear the date. Unpaid deposits show Not paid and count towards deposits due on the Business overview.
  • Mark placed: see below.
  • Remove: takes them off the list after you confirm. The contact itself is kept.

When someone is placed or removed, everyone behind them moves up one place.

Marking a family placed

  1. Click Mark placed on their entry.
  2. Choose the Animal they took home. This is optional: if the animal isn't in BreederPro yet, leave it blank and add it later with Add animal on the placed entry.
  3. Check the Date placed (it starts on today's date).
  4. Leave Record the sale on the animal ticked to also mark the animal as placed with this family as its owner, the same as Mark as placed on the animal's page (it also becomes a companion and leaves your breeding programs, and a kitten or puppy still under its litter becomes active; see How animal status works). Untick it if you already recorded the sale there.
  5. Click Mark placed.

Placed families move to the Placed section under the waitlist, showing the animal they took home (with a link to it) and the date. A placed entry can't go back on the waitlist. If they want another animal, add them to the waitlist again.

One active entry per contact

A contact can be on a program's waitlist only once while their entry is waiting or offered.

Waitlist and the client portal

Contacts on your waitlist can be invited to the Client Portal, where they can see their waitlist entries. Whether they also see their position number is a per-program setting: the program's Advanced tab, then Client portal, then Show waitlist position.

Using Claude

If you have connected Claude (see Connecting Claude), it can do the same things: list the waitlist including placed families, reorder it, offer, undo an offer, record deposits, and mark a family placed with the animal they took home.
